Aptitude Test Scheduling Privacy Policy

Scope
Birmingham Electrical JATC (“BEJATC,” “we,” “us,” or “our”) respects your privacy and is committed to protecting personal information. This policy applies specifically to the BEJATC Aptitude Test Scheduling service (“Scheduling Service”). It supplements BEJATC’s general website privacy policy and is intended to be read consistently with it.
Information we collect
BEJATC staff may add or import applicant information that you previously provided during the application process, including your name, application number and application date, email address, and telephone number. The Scheduling Service also records aptitude-test eligibility, invitation and email history, appointment selections and changes, attendance status, consent records, and administrative history.
When you use the Scheduling Service, we may collect limited technical and security information such as session-cookie data, access and verification activity, IP address, browser or device information, and timestamps. We use the last four digits of the telephone number already on file to verify access. The Scheduling Service does not ask applicants to enter a Social Security number, date of birth, payment information, or a test score.
How we use information
We use this information to verify your identity; issue aptitude-test eligibility; provide and operate the Scheduling Service; schedule, confirm, remind, cancel, or reschedule aptitude tests; record attendance; respond to questions; maintain accurate records; protect the service; investigate misuse; and comply with legal obligations.
Scheduling emails are administrative messages concerning your application, eligibility, appointment, or attendance. They are not marketing messages.
Information sharing
We do not sell or rent your personal information. We do not share it with third parties outside our organization except as necessary to operate the Scheduling Service, fulfill your request, protect BEJATC or others, comply with law, or as you otherwise authorize. Authorized BEJATC personnel may be copied on scheduling communications for applicant support and administrative follow-up. Service providers acting for BEJATC must use information only for the services they provide to us.
Email and SMS
This Scheduling Service currently uses email for aptitude-test communications. Agreeing to this Scheduling Service does not enroll you in BEJATC SMS messages. If SMS is added later, any SMS enrollment, disclosures, and opt-out terms will be presented separately and will remain subject to BEJATC’s applicable SMS terms.
Cookies and secure links
We use secure links and cookies to identify an authorized applicant session and protect access to scheduling information. These cookies are necessary for the Scheduling Service to work and are not used for advertising. Do not forward your secure link. Links expire or may be revoked, and identity verification may be required again.
Security
We use reasonable administrative, technical, and physical safeguards, including access controls, token hashing, rate limiting, secure-session protections, audit history, and encrypted transmission when the production service is accessed over HTTPS. Only personnel who need information for their work should receive access. No method of transmission or storage is completely secure, so absolute security cannot be guaranteed.
Retention and corrections
We retain applicant, scheduling, attendance, consent, communication, and audit records as reasonably necessary for apprenticeship administration, security, recordkeeping, dispute resolution, and legal obligations. You may contact BEJATC to request correction of inaccurate contact information or to ask questions about information associated with the Scheduling Service.
Electronic communications
Before using the applicant portal, you must agree to receive aptitude-test scheduling communications electronically. You may contact BEJATC to withdraw that agreement or request assistance with available alternatives. Withdrawal will not retroactively invalidate communications already provided and does not, by itself, erase an existing appointment, eligibility, or required administrative record. It may prevent continued use of online self-service features.
Changes to this policy
Changes will be posted on this page with an updated effective date or version. If a change requires renewed consent, the Scheduling Service will request it before the affected electronic process continues.
